Advisor - Legal Spend Management Operations

Work Location: Greenfield, IN (Hybrid)

The Advisor - Legal Spend Management Operations oversees all aspects of the department’s spending, leads the Legal Spend function and team, is a strategic advisor to the leadership team, is a thought leader for the department on Spend best practices, develops partnerships with the global finance team and other corporate functions such as accounting and IT. The role reports to the Senior Director, Legal Operations.

Job Responsibilities:

Work as the primary interface between the legal department and finance including the following:

  • Managing the monthly accrual process and liaising with finance including strategic review in relation to the department budget, forecast and accrual trends.

  • Managing the litigation monthly costs summaries and forecasting

  • Managing the quarterly forecast update process and the yearly budget process and all related questions throughout the year

  • Working with finance to get consistent, useful reports for all managers on our team and reviewing results, leading meetings and liaising with finance

  • Working with finance and our team on the cost center structure globally and updating as needed

Oversee daily work, interactions and training that Senior Lead Spend and e-billing analyst are conducting with all law firms, vendors and our team including:

  • Seeking process improvement

  • Create regular training program for law firm lifecycle process

  • Communicate to LCC on pertinent issues

  • Managing the e-billing post-approval interactions with IT and Finance ensuring integration and processes are accurate and streamlined

Planning, managing and executing the change of our e-billing system in 2024 including:

  • Including vendor sourcing and selection

  • Implementation planning and execution

  • Post implementation training and platform utilization

  • Lead cost savings reporting for all aspects of spend management (i.e. Creating a cost savings report card showing savings in legal costs with a robust spend mgmt. program)

  • Lead strategy and identifying process to price work with law firms. Overseeing execution by Spend Lead and e-Billing Analyst

  • Lead the law firm panel renewal process every 2-3 years

  • Manage process to conduct regular firm evaluations

  • Lead implementation of creating DEI goals for LCC and creating plan to collect and analyze data

  • Assess and develop a plan to get more countries billing through e-billing platform

  • Creating a law firm list/repository for easy access by all

  • Managing process for tracking law firm engagement letters including specific terms and

  • Improving reporting from e-billing platform for lawyers use OR creating analytics dashboards in e-billing platform for lawyers

  • Ensuring a cleanse of e-billing platform data is completed and then regularly maintained

  • Manage other miscellaneous projects and initiatives related to the Spend Management function within Legal, Compliance and Corporate Affairs

Basic Qualifications:

  • Bachelor’s degree required; Degree in Business, Finance or Accounting preferred

  • Minimum 5-8 years’ legal operations experience including managing a team

  • Strong leader who is confident with best practices of legal spend management, law firm spending practices and the latest developments in legal technology related to law department financial management

  • Demonstrated ability to work effectively across a multi-functional, global team

  • Strong negotiator and creative problem-solver

  • Self-starter requiring minimal oversight or direct management

  • Demonstrated project/process management experience

  • Strong collaboration skills, with an ability to build relationships both within a team and across external departments

  • Proactive, entrepreneurial approach to recognizing needs, solving problems, anticipating issues and developing solutions; excellent business judgment and strategic thinking

  • Attention to detail with excellent time management and multitasking/prioritization abilities

  • Excellent proficiency in Microsoft Office including Excel, PowerPoint, Outlook, and Word

  • Proven ability to manage multiple concurrent projects and responsibilities

  • This role may be worked from the U.S. or another Country where Elanco has presence
