Job Description

Primary Responsibilities:

Administrative support for our Chief Information & Digital Officer (CIDO), a Zoetis Executive Team (ZET) member. Support includes managing complex calendar and priorities for the CIDO including internal and external events, travel, leadership meetings and offsites. Candidate must have strong organizational skills, an aptitude for technology, and be able to prioritize while working independently.

  • Calendar management – must possess excellent prioritization skills and attention to detail for complex calendar maneuvering and coordinating across other ZET Executive Assistants.
  • External Calendar & Event management – must have expertise coordinating and working with external executives, public speaking events and coordinating with external committees.
  • Complex Travel arrangements – must possess excellent attention to detail and attention to complex travel schedules including transportation, hotel, car, etc. and prepare and oversee detailed itinerary throughout the travel event. Maintain receipts and records. Process expenses through Concur.
  • Facilitate meeting logistics including major on-site and offsite meetings (i.e. reserving conference rooms, hotel lodging and meeting space, catering, coordinating attendees and sending invites)
  • Using judgment to identify and work to resolve most urgent issues
  • Independently identify and respond to daily issues that arise, and identify resources needed to perform job responsibilities. Plan, organize and prioritize own work on a daily basis to meeting deadlines and plan ahead to anticipate and meet upcoming deadlines.
  • Correspondence sorting, prioritize and redirect incoming mail and email communications
  • Establish and maintain office procedures and systems (i.e., filing, or record keeping systems, ordering supplies, Ariba administration)
  • Act as point person for coordinating building access for visitors including Zoetis field colleagues, guests and meeting attendees
  • Special project support

Qualifications:

  • Associate degree preferred or equivalent and no less than 5 years of experience as an executive administrative assistant (supporting a CIO/CIDO preferred)
  • Candidate should possess excellent communication skills with an ability to respond with professionalism in verbal as well as written communication
  • Candidate must have strong organizational skills with high-level of attention to detail
  • Candidate will have demonstrated the ability and initiative to work without close supervision, handle multiple tasks with frequent tight deadlines, work well in team environments; independent, pro-active, self-motivated with strong organizational skills
  • Excellent judgment as well as the ability to work with extremely confidential documents and information
  • Ability to demonstrate flexibility in dealing with change and diversity
  • Ability to work flexible hours
  • Candidate must process excellent propitiations skills for calendar maneuvering

Candidate must possess excellent computer skills and a high level of proficiency with PowerPoint, Excel, Word, Outlook, Microsoft Teams, Yammer, Ariba, and Concur
