Job Description

Our Executive Administrative Assistant provides direct support to the SVP, Research & Development in the form of calendar management, expense reporting, travel arrangements, meeting support and also the creation of PPT materials. The right person is extremely technology proficient and will be “one step ahead” of the Chief Technical Officer to ensure work on multiple projects as assigned. Excellent organizational, tracking and follow up skills will be very important in this role along with rich interpersonal skills to engage a broad internal and external stakeholder group. In the role of an Executive Administrative Assistant You will support one or several department professionals, division heads, officers, or managers You will perform routine tasks including data entry, phone coverage, ordering office supplies, processing and distributing mail, filing, photocopying and faxing, processing purchase orders, invoices, check requests and expense reports, preparing reports, meeting minutes and correspondence You will coordinate meetings and conference calls You will create and edit documents, spreadsheets and presentations You will manage schedules, arrange appointments and itineraries, books airline, hotel and car reservations You will remain knowledgeable of business unit policies You will manage projects of varying scope and complexity Schedule: This is a full time (40 hr/wk) position. Occasional overtime may be needed. The schedule would be set around the business needs of 8 am – 5pm and occasionally may include extended business hours based on need. Reliable and dependable attendance is an essential function of the position. Adherence to attendance- related policies and expectations is critical to this position. Location: This position is a hybrid position located out of our Westbrook, Maine office. The requirement is that the EA will be onsite a minimum of 3 days per week. What Do You Need to Succeed? You will possess effective communication skills You will be organized and detail-oriented You will have familiarity with office equipment such as switchboard, postage meter, copier You will have strong computer skills, experience with MS Office – Word, Excel, Outlook, PowerPoint, Visio and SAP preferred You will be able to work across business units, geographies and functional area You must demonstrate a high level of service and professionalism You must have the ability to use discretion and handle confidential information You must have customer-service aptitude; solid interpersonal & communication skills.
