Job Description

This position is responsible for the overall planning, coordination, execution, monitoring, status reporting, and leadership of assigned projects ranging in scope, value, complexity and subject matter. Projects may be local, regional or national, involving multiple disciplines, a broad range of people across the organization, and outside vendors.

As a member of the Project Management Team, this position also works with the team leader in the development and implementation of project processes and resources to ensure that all projects meet specified goals and requirements.

Responsibilities:
Project Planning:
• Defines and documents the scope of projects in collaboration with project leaders and senior management
• Creates detailed work plans to identify and sequence activities needed to successfully complete assigned projects
• Determines the resources (time, money, equipment, etc.) required to complete a project, in collaboration with the project team
• Develops schedules for project launch through completion that effectively allocate resources to required activities, in collaboration with the project team
• Reviews project schedules with project leaders, senior management and all other staff who will be affected by project activities; revises schedules as required
• Determines the objectives and measurements upon which the project will be evaluated at its completion, in collaboration with project leaders
• Identifies and documents project risks, including contingency/mitigation plans, to minimize risk, in collaboration with the project team
• Assists with development of project metrics
• Incorporates change management activities into project plan

Project Implementation:
• Monitors and tracks execution of projects per project plans
• Develops forms, records and reports to document project activities
• Sets up files to ensure that all project information is appropriately documented and maintained
• Monitors the progress of projects and makes recommendations for adjustments as needed to ensure the successful completion of all projects
• Establishes a communication schedule to update stakeholders, including appropriate staff, on the progress of the project
• Facilitates and supports project teams including cross-functional project teams and personnel
• Reviews the ongoing quality of project work as completed with the project team on a regular basis, ensuring that project standards (reports and metrics) are all met along the way, particularly upon reaching key milestones

Project Control:
• Creates reports on project progress and metrics
• Prepares financial reports and supporting documentation
• Monitors and manages project expenses and overall project budgets per established accounting policies and procedures, including reporting actual expenditures and variances to senior management on a regular basis, as directed
• Ensures that all project financial records are current and up-to-date

Project Evaluation:
• Ensures that project deliverables are met, on time, within budget, and achieve the required level of quality (within scope)
• Evaluates outcomes of projects as established during the planning phase
• Documents project outcomes, lessons learned, and modifications needed for future projects

General:
• Ensures that the highest quality standards are met in all areas
• Contributes to project life-cycle improvement through lessons learned, project archives, etc.
• Serves in a consultative capacity for projects as needed (in any phase)
• Works to improve the organization’s overall effectiveness related to project, program and portfolio management
• May be required to serve as project lead and project manager on some projects

Education, License & Job Requirements
• Bachelor’s degree (or equivalent experience) in a related field of study
• Strong working knowledge of MS Office and project management software
• In-depth knowledge of project management methodologies, tools and techniques for entire project life cycle across all knowledge areas
• Must be able & willing to travel (up to 50% at times)

• Proven experience in formal project management (minimum of 2 years)
• Ability to effectively negotiate scope, resources and schedule changes with stakeholders
